How to choose a CRM provider

Written for someone actually choosing a supplier, not for someone selling one.

What does a CRM implementation really cost over three years?

Ask for a three-year total, not an implementation quote. It should include licences per user, the implementation itself, data migration and ongoing admin support. Implementation is often the smallest line. A system quoted at AED 40,000 to implement can carry more than that again in annual licences, and that is the number your finance team needs.

How many implementations have they done on my platform?

Salesforce, HubSpot, Zoho and Microsoft Dynamics are different products with different partner ecosystems, and experience does not transfer cleanly between them. Ask for a count on your specific platform and one reference you can actually call. Check whether they hold the vendor's partner certification, which is verifiable on the vendor's own site rather than theirs.

Who can configure the system after go-live?

Someone on your team should be able to add a field, change a pipeline stage and build a report without raising a ticket. Ask what training and documentation is included and whether admin access stays with you. A CRM that only the implementer can change becomes a permanent retainer, and that dependency is easier to avoid than to escape.

Is the data migration scope in writing?

It should name which records move, which fields map to what, how duplicates are handled, and what happens to history and attachments. Migration is where these projects overrun. If a provider will not commit the scope to paper before starting, that is the clearest signal available that they have not thought it through.
